Hybrid Work and Real Estate: Rightsizing Your Office

Your office was designed for an era when everyone came in five days a week. With hybrid work, that same space sits 40–60% empty most days. Average hybrid office utilisation has dropped to 40–50% of capacity. Peak days (Tuesday/Wednesday) see 60–70% utilisation while quiet days (Friday) see 20–30%.

Before You Downsize: Measure First

Don’t make real estate decisions based on gut feeling. Collect daily attendance data, understand peak vs. average attendance, identify team patterns and seasonal variation, and project growth. Collect at least 3–6 months of data before making decisions.

Three Approaches to Rightsizing

1. Reduce Footprint

Move to a smaller space or sublet unused floors when your lease is coming up for renewal, your peak utilisation is well below 70% of current capacity, and you can confidently predict attendance patterns going forward.

2. Redesign the Space

Keep the same footprint but transform it. Replace rows of individual desks with collaboration zones, social hubs, focus rooms, better meeting rooms with hybrid meeting tech, and flexible hotdesking zones.

3. Hub and Spoke Model

Instead of one large central office, create multiple smaller spaces closer to where employees live. A headquarters for company-wide events plus satellite offices or coworking memberships for daily use.

Design for Your Peak, Not Your Average

Size your office for peak attendance, not average. Stagger team anchor days, use overflow spaces on busy days, provide real-time visibility into office occupancy, and set soft caps on daily attendance with a booking system if needed.
